BILINGUAL RECEPTIONIST / OFFICE MANAGER

Community Legal Services And Counseling Center (CLSACC) is a community based agency that provides free legal services and affordable mental health counseling for low-income people throughout the Boston/Cambridge area.

RESPONSIBILITIES:

Reception Duties: Answer phones; screen callers for eligibility for the Center’s services; relay messages to staff and volunteers; refer callers to other service providers and keep track of referrals; greet clients and other visitors; collect and record counseling client fees; prepare, file and retrieve counseling clients’ folders; keep files of administrative and counseling forms; maintain computerized client data base and rolodex of volunteers and staff contact information; provide interpretation services when necessary.

Office Manager Duties: Order office supplies; keep supplies areas organized; oversee postal needs including purchasing of stamps, and opening and sorting incoming mail; call vendors for equipment repairs; keep pamphlet display stocked; keep reception area neat and organized; supervise evening reception staff; perform additional tasks for the smooth functioning of the office as needed.

Bookkeeping: Cash disbursements - review and code invoices for payment; process checks through accounting software, and submit checks and documentation to Executive Director for approval and signature; Cash receipts - receive and record all receipts on appropriate forms, reconcile checks and cash receipts, and prepare weekly deposit; file invoices.

QUALIFICATIONS:

  • Bilingual in Spanish and English. Additional language skills a plus.
  • Experience as a receptionist, office manager, or work in a fast paced office environment, including telephone skills, takingand relaying messages, hanfling clinet payments and ability to multi-task.
  • experience and comfort with computers, especially, data entry, Quicken or similar accounting software and Microsoft Word.
  • Experience with Accounts Payable/Accounts Receivable a plus.
  • Sensitivity to people experiencing emotional distress.
  • Experience and comfort working with people with low incomes and from diverse backgrounds.

START DATE: Immediately

HOURS: 9:00 a.m. - 5:00 p.m. (35 hours per week)

HOURS, SALARY, BENEFITS: Salary DOE. Excellent fringe benefit package, including health, life and long term disability insurance, four weeks paid vacation, 403(b), and Flexible Spending Plan.
